1. Who we are
The Simplex Report is operated by Simplex Systems Ltd, a company registered in England and Wales (company number 17391825), with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
We are the data controller for the personal data described in this policy. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The supervisory authority is the Information Commissioner's Office (ICO), ico.org.uk.
2. What we collect
When you request a report through this website, we collect the details you enter in the form:
- Your name
- A registered company name (the company you would like a report on)
- Your email address
- Your phone number
We do not use tracking or marketing cookies, and we do not use any analytics or third-party tracking on this site.
3. Why we collect it, and our lawful basis
- To verify your request, contact you by phone to scope it, and prepare and deliver your report (your name, the company name you provide, email, and phone number). Lawful basis: taking steps at your request prior to entering into a contract and our legitimate interest in delivering the service you asked for (UK GDPR Article 6(1)(b) and 6(1)(f)).
- To send you occasional updates about The Simplex Report (your email address). Lawful basis: our legitimate interest in informing relevant business contacts about our services (UK GDPR Article 6(1)(f)), in accordance with PECR. We only send these updates to contacts who have enquired with us, we provide an opportunity to opt out at the time of your enquiry, and every email includes a direct unsubscribe link.
When you submit the form, we will send an email asking you to verify your request. Once confirmed, we will contact you by phone to scope your requirements before running the report.
4. Who processes your data for us
We use a small number of trusted providers to run the service:
- Hetzner Online GmbH (Germany and Finland, EU) - website hosting and encrypted backups. A data processing agreement is in place.
- Proton AG (Switzerland) - sending the confirmation email and any updates. Switzerland is covered by a UK data adequacy decision.
We do not sell, rent or share your personal data with anyone for their own marketing.
5. International transfers
Your data is hosted within the EU (Germany and Finland) and email is handled in Switzerland. Both the EU and Switzerland are recognised by the UK as providing an adequate level of data protection, so no additional safeguards are required for these transfers.
6. How long we keep it
We keep your details only as long as we need them to prepare and send your report and, where you have agreed to updates, until you ask us to stop. You can ask us to delete your details at any time and we will do so promptly. Encrypted backups are retained for up to 90 days and then deleted.
7. Your rights
Under the UK GDPR and the Data Protection Act 2018 you have the right to:
- access the personal data we hold about you;
- have inaccurate or incomplete data corrected;
- have your data erased;
- restrict or object to our processing;
- receive your data in a portable format;
- withdraw consent at any time, where we rely on consent;
- lodge a complaint with the ICO.

8. Security
All data is transmitted over HTTPS (TLS). Our servers are hosted in the EU by Hetzner Online GmbH, which holds ISO 27001 certification, and access is restricted by firewall and SSH key. Backups are encrypted before they leave our server. If a data breach occurs that is likely to put your rights at high risk, we will notify the ICO within 72 hours and tell you without undue delay.
9. Children
This service is intended for business use and is not aimed at anyone under 18. We do not knowingly collect data from children.
10. Changes
We may update this policy from time to time. The "last updated" date above shows the most recent revision, and we will tell you about material changes by email where we hold your address.
